Clarify the Business Case and Project Objectives
It's not just about figuring out what we're building, but digging deep into why it matters in the first place. A truly successful project plan always kicks off by understanding the problem we're trying to solve and the tangible results we're aiming for. For me, this often involves asking the tough questions upfront: What pain point are we addressing? How will we measure success? What are the non-negotiables? Getting crystal clear on the business case and having those measurable objectives nailed down early is like setting a strong foundation; everything else builds upon it. Without that clarity, you're essentially sailing without a compass, hoping you'll eventually reach the right destination.
Scope it Right (and Guard the Edges)
Scope - the delicate balance between delivering value and avoiding the dreaded "scope creep." In my experience, a tightly defined scope is your best friend. It's not about saying "no" to every good idea, but about clearly outlining what's in and, crucially, what's out. A well-crafted Project Brief/Business Case acts as your project's shield against those tempting but ultimately derailing additions. I've learned the hard way that a vague scope is an open invitation for the project to balloon, impacting timelines and budgets. So define it precisely, get everyone to agree, and then, like a vigilant gatekeeper, guard those edges!
Engage and Identify Stakeholders, Clarify Roles
Trust me when I say so many projects hit turbulence simply because the right people weren't brought into the conversation early on or worse, they changed their minds halfway through. That's why I always make it a priority to get key stakeholders involved right from the get go. This isn't just about ticking a box; it's about building consensus, understanding their perspectives and nipping potential roadblocks in the bud. Regular communication, even when there's no "big news," keeps everyone aligned and invested. Think of it as tending a garden – consistent care and attention ensures everything grows in the right direction. Implement a robust Stakeholder Management tracker, detail their role within the project and a Communication Plan to identify the cadence of updates and what to update on.
Plan Resources, Time, and Budget Realistically
Here's where wishful thinking goes to meet cold, hard reality. Overpromising on timelines and underestimating resources is a recipe for stress and disappointment. That's why I always try to anchor expectations with solid data, even if it means having some tough conversations early on. Realistic planning of who does what, how long it will take, and how much it will cost isn't about being pessimistic; it's about setting the stage for achievable success. Padding your estimates a little based on past experiences is often wiser than painting an overly optimistic picture that you can't deliver on – your future self will thank you for it.
Implement Risk Management Strategies
Proactive risk management is essential to anticipate and mitigate potential challenges. My initial step in identifying potential risks for a project is to brainstorm with the project team and stakeholders. This collaborative approach ensures a broader range of potential issues is considered.
Identifying the risks however, is only half the battle; you also need to define clear response plans. What will you do if a key resource becomes unavailable? What's the contingency if that critical integration fails? Building in this kind of resilience is like having a spare tyre – you hope you won't need it, but you'll be incredibly grateful when you do.
A useful tool for managing identified risks is a RAIDD log (Risks, Assumptions, Issues, Dependencies, Decisions). You might not have seen the addition of ‘Decisions’ within RAID logs you’ve come across, but I find it’s the perfect home for logging this crucial information - Add in the decision, who made it, who signed off on it, the date and forum (Email, Sponsor Call etc.) Continuous monitoring of the RAIDD log allows for timely intervention and minimises potential disruptions.
